Travel Procedures and Policies
Airfare reimbursement The church/organization is responsible for booking and purchasing the tickets with our approval of the flight itinerary before the purchase is finalized. Transportation The church/organization is responsible for our transportation. This includes, but is not limited to, transportation to and from the airport, church and hotel. A rental car is usually not necessary. We will advise you in advance if we require a rental car. Accommodations The church/organization is responsible for hotel accommodations. We respectfully request that the hotel be clean and possibly newer. We will cover the phone calls made at the hotel. A quiet, private room in someone's house would be acceptable. Meals/snacks The church/organization is responsible for the meals. We prefer to eat in family friendly restaurants including Macaroni Grill, Olive Garden, Applebee's, O'Charley's, Red Robin, Chick-Fil-A, and Mexican cuisine. For snacking, we enjoy fresh fruit, nuts, trail mix, crackers, milk chocolate, water, hot tea and coffee. Ministry requirements For classes in bigger venues, please provide PA system with a wireless microphone and CD player for a dance workshop (for smaller venues, a good sounding boom box will be sufficient) and a keyboard for a worship workshop. Please provide bottled water. Financial requirements Honorarium depends on the extend of our involvement and comes from love offerings or registrations or could be a set amount previously agreed upon. We ask that you present a single check in U.S. funds made payable to Worship Steps before our departure. Promotional information We will provide biographies, photographs, and video clips for promotional purposes at your request. The host will be responsible for the local advertising through fliers, newspaper, radio, contact with other churches, etc. We will help advertising through our mailing list. Audio/video recordings We ask that the church/organization provide us with a copy of all audio or video recordings of the services and teaching sessions if any are made. Ministry resources Worship Steps offers many excellent materials to equip and encourage the Body of Christ in the area of creative arts. These items will either be shipped to the church/organization or we will bring them with us. We ask that the church/organization designate someone to be responsible for table set-up, sales, and tear down. We will contact you within two weeks of the event with specific details. Any or all above mentioned procedures and policies may be modified with our consent to suit your particular situation or event. We are flexible and will work with the church/organization to meet your particular needs. |
